2011 BOARD OF DIRECTORS MEETINGS

Tuesday, September 20, 2011, 6:00pm

Tuesday, December 6, 2011, 1:00pm

2011 BOARD OF DIRECTORS MEMBERS

Mike Rhoads – Developer Board Member & Association President

Jerrold Orloff – Resident Board Member & Vice President

Joanne Bowers – Developer Board Member & Association Treasurer

Bruce Campbell – Resident Board Member & Assistant Treasurer

News from your Community Manager, Erica Horndasch…

Summer is here! We’d like to remind residents to be smart and stay cool and hydrated during these hot summer days. Please read below for important community news.

1. New Faces – Please help me welcome some of our new Wentworth staff. Barry Sullivan has been hired for the full time maintenance position. Barry will work M-F 7am to 3:30pm and weekends as needed. Conny Heggen has been hired as the administrative assistant to both the Lifestyle Director and Community Manager and will be working at the front desk. Conny will work M-F from 9am – 2pm at the front desk. Daniel Smith has been hired as the weekend part-time maintenance assistant and will work on Sat. & Sun. with 4 hour shifts each day to assist with light facility maintenance and janitorial needs.

2. Maintenance Requests – The maintenance staff has a list of duties to complete daily, weekly, quarterly, etc. Please direct all maintenance requests to the Community Manager or Administrative Assistant/front desk. Each request will be reviewed and addressed according to priority.

3. Pool Rules - Please refer to the pool usage info in the monthly calendars.

4. Pool Equipment – Prior to the outdoor pool season, an inventory was completed to replace damaged equipment. All new noodles were purchased along with other select items, which are primarily used for aqua fitness and structured classes. We know the kids love to come to the pool and it’s a pleasure having them, but please understand that kickboards and barbell floatation devices are primary used for aqua fitness classes. There is a limited supply available for guests and residents, but we ask that everyone be respectful when using facility equipment.

5. Inclement Weather – During inclement weather, kid swim will be held in the indoor pool. When the outdoor pool is open all kids are to be at the outdoor pool ONLY. The staff will make the executive decision as to when the outdoor pool should and will be closed.

6. Lightning and Thunder (pool) – The staff is very concerned about everyone’s welfare and safety and therefore the rule for lightning and thunder storms for residents and guests using the indoor and outdoor pools is that all patrons must exit the water and outdoor pool deck. Residents may re-enter 20 minutes after the last sign of lightning or thunder. The staff will assist in this determination.

7. Tornado Weather – With the recent events that occurred in Joplin, everyone should be prepared with emergency plans within their own residence. In the event you are at the lodge during tornado like weather, the staff will direct you to three safety zones within the lodge. Those areas are: The pantry (kitchen), men’s locker room or Tracy’s office.

8. Fitness Shoes - Many of our residents and guests are utilizing the fitness equipment and attending classes in the same shoes they entered the building in. We strongly encourage you to change shoes. The dirt and grease that is on the bottom of your shoes damages the flooring, carpet and fitness equipment. We ask you to help us keep a clean facility.

9. Lost and Found – Please check the lost and found area in the lodge coat closet for any items that belong to you. All items within the lost and found will be discarded at the end of each month if they are not claimed.

10. Wildlife – Being a community of over 300 acres, we are surrounded by all sorts of critters and wildlife. Please watch out for roaming wildlife as you travel within the community. We’ve all seen a turtle or two the past few weeks, so do your best to avoid running them over with your car.

11. Community Projects

Mulch – The association will be installing mulch in NH 1-5 this year in the front landscape beds only. All additional mulch requests for Brickman were due by May 12th. The actual mulch installation is being sub-contracted to McGinty (same as last year). Mulch is tentatively scheduled to begin June 8th. The schedule is posted on the portal and was mass emailed to the community.

Sealcoating – The lodge parking lot is scheduled to be sealcoated on June 8th and 10th. Half of the lot will be done at a time so residents and guests will still be able to park in the lot. Residential driveways will begin the week of June 13th and continue through the week of June 20th. Sealcoating will be done on M, W, TH to coordinate around garbage and mowing schedules. Specific NH assignments are being finalized and will be published the week of June 6th.

Lodge Power washing and Window Washing – The exterior of the lodge is scheduled to be power washed on Friday, June 10th. BDS, our janitorial service will be performing this service as well as window washing (outside and inside) on Saturday, June 11th.

Lodge Carpet cleaning – The lodge carpet is scheduled to be cleaned on Sunday, June 12th. BDS will begin approx. 4pm.

Bed edging and cultivating – Continue to watch the weekly Brickman Production reports on the status. Currently, we are on schedule to have this completed by June 15th.

Mowing – Is back on schedule and updates will be provided in the weekly production reports.

Turf damage from snow removal – in process and scheduled to be completed by June 15th.

Turf fertilization – the 2nd fertilizer application and grub preventative treatment is underway. This is being applied by Weed Man.

Parkway trees – several residents have inquired about Parkway trees and when they will be inspected. The P&G Committee is planning to perform an inspection over the next few weeks and will determine what trees will be replaced this year. The list will be based on priority. Dead trees will be recommended for removal and replacement first.

Tree inventory – This year the community contracted with Brickman for a tree inventory of all common area plantings. This will be a very comprehensive and detailed list of all the trees in the community. This list will help the committee to evaluate and budget accordingly on an annual basis as to what trees need to removed, replaced, etc. The list will also help to make recommendations for treatments to protect the trees from insects and disease. This inventory does not apply to residential lots, only common areas.

Entry Fountains – one fountain is currently down and will remain down. We are planning to only leave one fountain in the front water basin and change the nozzle to something more fountain like with less overspray. This should be completed in the next week or so. The 2nd aerator that we have in the front water basin will be stored to be placed in the rear water basin off Chevy Chase and Hawley as soon as the construction risers can be removed. Cross your fingers Pulte can begin building in that area soon!

Maple floor refinishing project – This project has been completed.

Concrete repairs at Lodge – this has been completed.

Landscape Improvements – The P&G committee has made recommendations to the Board for improvements within the community as budgeted. The Board will be formally approving these improvements at the June 14th meeting.

Design Guidelines – The Modifications committee has been working on their annual review and revisions. Their recommendations have been presented to the Board and will be on the agenda for June 14th for approval.

P&G Reference Guide – If you have not picked up your reference guide one will be delivered to your home by one of your NH reps. The P&G committee worked all winter on this project and it turned out better than originally expected. This guide is intended to be used a tool to help you better navigate your way through all the components of your landscape. Kudos to the committee for a job well done!

Tennis court repairs – We are waiting for things to dry out, so this project will most likely be delayed until later in the season. Once the area around the lodge is dry enough, US Tennis court will begin the drain tile work and repairs to the fence posts and surface. The staff will work with the tennis and pickle ball clubs to install the screens in the next week or so.

Board of Directors meeting – Next meeting is scheduled for Tuesday, June 14th at 1:00pm.

Wetland – Stewardship work in the native areas will begin in June. Both Phase I and Phase II will now be the responsibility of the HOA with respect to the vegetation. There are still areas being monitored by Pulte and will continue to be monitored until all construction is completed in those areas. This work will be performed by McGinty.

Hutchinson Street Light – Pulte will be installing a temporary street sign shortly. The new street light will be installed within the next 2-4 weeks.

Tornado Siren – A tornado siren is going to be installed within the Grand Dominion community near the lift station off Canton Circle. This is scheduled to be installed this summer by the Mundelein Fire Department.

Proposed Golf Cart Path to Steeple Chase – this proposed project is in the process, however construction is not expected to begin until 2012 should it be approved by all parties involved.

Happy 4th of July!

FITNESS CLASSES

PLEASE READ THE FOLLOWING FOR

IMPORTANT CHANGES TO THE GRAND DOMINION FITNESS CLASS PROGRAM

In an effort to increase our fitness class participation and provide the best possible and affordable fitness class program, our Fitness Class Registration Procedure will be undergoing some changes. On July 1st, we will be implementing a

FITNESS CLASS PUNCH CARD SYSTEM.

Please note the following:

FROM NOW THROUGH JUNE 30TH:

Ø Residents can continue to pre-register for classes but THE FITNESS FIVE PACK WILL BE DISCONTINUED. ALL CLASSES WILL COST $4.00 PER CLASS – SAME FEE FOR PRE-REGISTRATION OR DROP-IN.

Ø We will only be taking pre-registrations through June 30th.

Ø Classes are subject to cancellation due to low pre-registration up until June 30th. Please call ahead for any cancellations up until June 30th.

STARTING ON JULY 1ST – WE WILL IMPLEMENT A FITNESS CLASS PUNCH CARD SYSTEM:

Ø The Punch Cards will be available for sale beginning in June. Announcements about the sale will be made by email or at the lodge.

Ø Cards will be sold at the front desk - $40.00 for 10 classes (or punches).

Ø Punch cards can be used for any class type and combination with the exception of the S.T.A.B.L.E. Balance Classes.

Ø The fees for the S.T.A.B.L.E. Balance classes will remain at $1.00 per class and that fee will be paid directly to the instructors from Grayslake Rehabilitation at the beginning of the class. No pre-registration will be necessary.

Ø Punch cards will not be used for the S.T.A.B.L.E. classes.

Ø Cards are non-transferable and can be used by only one resident.

Ø Cards will expire at the end of the calendar year.

Ø Residents without a punch card can attend any class for a $5.00 drop-in fee.

Ø No Pre-Registration will be necessary for residents using a punch card or paying the $5 drop-in fee.

Ø The Front desk will no longer take any money or handle any registration – Registration will be done by the instructors in each class - they will take attendance, punch the cards and take any money for the drop-in fee of $5.

Ø Classes will be held regardless of number of participants. Classes will be held as scheduled unless advance notification has been made or emergency purposes dictate cancellation.

Ø This system is being implemented on a trial basis, will be evaluated at the end of the year and is subject to changes at that time if continued subsidization is necessary to fund instructor fees.

For more information other inquiries, please contact Tracy Citrano. We hope the new system will be equally beneficial for all involved. Thank for your patience and cooperation during this transition period. And remember,

If you work for it… IT will work for YOU!!!

"FILE FOR LIFE"
The "File For Life" program sponsored by the Mundelein Fire Department, helps the fire department "help you" by making your medical information available to the responding Firefighter/Paramedics in a medical emergency at your home. Forms are available near the bulletin board area at the Lakeside Lodge. Completed forms should be kept in a visual position on your refrigerator, making it accessible for emergency personnel.
If you need further assistance, or have questions, contact the fire department at 847-949-3260 or www.mundeleinfire.org
